At Ultro, we respect user privacy and comply with applicable data protection regulations.


Who controls the data?


Ultro  is an enterprise system used by organizations to manage their internal data. All user accounts and associated data are controlled by the organization’s system administrator, not by Ultro ERP directly.


How can a user request deletion of data?

For end-users: Please contact your organization’s administrator. The administrator can deactivate or request removal of your account and related data.

For administrators: Administrators can manage, deactivate, or delete user accounts from within the ERP system. If you need assistance with deletion, please refer to the contact section in this document. Before contacting please refer to the Data Removal & Limitation section.


What data can be deleted?

User accounts

​Deactivation: Administrators can deactivate user accounts so the user cannot log in or access the ERP.

​Deletion: Permanent deletion of user accounts is not supported in order to preserve historical transactions, audit trails, and compliance records.

Uploaded Documents, Notes, and Chat History: 

Administrators may remove these as per the organization’s policies and permissions set in the ERP.

Business Records, Transactional Data, and Master Data: 

These form the operational core of the ERP system. Deletion of such data is subject to the organization’s internal retention policies, statutory compliance, and audit requirements. In most cases, this data cannot be deleted but may be archived or marked inactive.

How is deletion handled?

Account Deactivation: User accounts can be deactivated by administrators to prevent further access.


Data Removal

Ultro provides administrators with the necessary controls to manage and remove data as permitted within the system. Data that cannot be deleted due to statutory, compliance, or system integrity requirements will remain retained. Ultro.ai will not perform additional data deletion outside of these administrator controls, unless such removal is expressly mandated under applicable law.

Limitations

  • Ultro does not independently delete organizational data beyond what is allowed by administrator controls.
  • Data subject to legal retention requirements (e.g., accounting, tax, compliance) will remain stored for the required period.
  • Permanent deletion of transactional data is generally not available, unless legally mandated.
