1. Purpose
This policy establishes clear rules for Ultro partners to register customer opportunities, ensuring fair treatment of partners, protecting their investment in developing leads, and avoiding channel conflict.
2. Eligibility
Any active Ultro partner (Registered, Silver, Gold, or Platinum) may register deals for prospects they have actively engaged with. The prospective customer must not be:
- An existing direct Ultro customer
- Already registered by another partner (checked at time of submission)
- A company with an active direct sales process managed by Ultro (Enterprise Accounts list)
3. Registration Process
Partners must register deals through the Ultro Partner Portal by providing:
- Company name, address, and primary contact
- Estimated deal size and modules of interest
- Expected close date
- Brief description of how the lead was sourced
Registration confirmation is sent within 1 business day. If the prospect is already registered, the submitting partner is notified.
4. Protection Periods

Protection periods are automatically renewed if there is documented active engagement (meeting notes, email threads, or demo recordings submitted via the portal).
5. Dispute Resolution
If two partners claim the same prospect, Ultro will review timestamped registration records and evidence of prior engagement. Ultro's decision on deal ownership is final and binding.
Disputes must be raised within 5 business days of the conflicting registration notification.
6. Inactivity & Expiry
A registered deal expires if no update is submitted to the portal within the protection period. Expired deals revert to open territory. Partners will receive a 7-day expiry warning email before a deal lapses.
